02 / A CLEAR STARTING POINT

The Intentional
PMO Assessment.

Find the friction.
Focus on value.

Assess how well your governance, configuration, reporting, and delivery practices connect work to strategy and make value visible. Identify the barriers and prioritize improvements around the outcomes your organization needs.

Discuss your assessment

For PMO leaders and Planview owners who need a clear improvement plan. Start with a conversation about your environment and priorities.

WHAT YOU WALK AWAY WITH

  1. Findings & likely causes

A clear account of the problems, their impact, and the process or configuration behind them.

  2. A prioritized improvement backlog

Recommended changes organized by strategic alignment, expected value, effort, and dependencies.

  3. A proposed 90-day roadmap

A practical sequence of improvements, with near-term priorities and a view of what comes next.

  4. A defined first implementation

A focused scope with deliverables, responsibilities, and acceptance criteria.

  5. Measures of improvement

Agreed outcome measures, plus baselines for strategic traceability, reporting effort, and delivery performance.

Who takes part

Your PMO or portfolio lead, the Planview platform owner, and selected people who use the processes or reports being reviewed.

What to bring

Your main questions, examples of reports or workflows that need attention, and the priorities driving the work. Relevant material and access are agreed during scoping.

Scope, fee & timing

Before the assessment begins, we agree the scope, deliverables, participants, fee, and schedule. Timing reflects the work involved and the availability of your team.

MAKE THE ENGAGEMENT TANGIBLEPreview a focused assessment.

Illustrative scope, sequence, and deliverables. Your engagement is agreed around your priorities, access, and team availability.

01 / UNDERSTAND

One workflow. One decision.

Review a representative intake-to-delivery workflow and the leadership decision it should support. Involve the PMO lead, platform owner, and selected users.

02 / TRACE

Evidence before changes.

Walk through sample requests, handoffs, fields, and reports. Record friction, likely causes, and a baseline for the improvement you want.

03 / PRIORITIZE

A decision-ready backlog.

Receive findings, prioritized improvements, a proposed 90-day sequence, and a defined first implementation with acceptance criteria.

SAMPLE BACKLOG ENTRY · ILLUSTRATIVE

Standardize status reporting at the source.

Observed friction
PMs use inconsistent definitions; leadership reconciles reports manually.
First improvement
Agree status definitions, configure the submission workflow, and validate an exception view.
Acceptance criteria
Representative submissions follow the agreed definitions; leaders can identify exceptions without reconciling separate files.
Measure
Compare reporting preparation time and completeness before and after adoption.

CASE STUDY / FROM CARD TO PORTFOLIO

From service requests
to business value.

Give leadership a clear path from strategic initiatives to the work that delivers them. Backlog cards connect to Feature and Value Delivered parent cards on a second AgilePlace board, and Features roll up to strategic Epics.

This backlog preparation example was developed in under 40 hours. Together with two custom Power BI report packages built from Planview OData, the workflow makes progress, intended value, Feature timing, and the balance of maintenance and improvement work visible to leadership.

RESULTS FROM THIS WORKFLOW

200

hours per board manager
per year, annualized.

All work flows back to strategy.

Every backlog card has one Feature and one or more Value Delivered cards as parents on the Planview Epics, Features, and Value Delivered board. Features connect to Epics that define strategic initiatives, making the path from everyday work to strategy visible.

Leadership visibility: value, timing, and balance.

Custom Power BI reports built from Planview OData show delivered work and the value it supports, expected Feature timing, and the balance of run-and-maintain work versus improvements and development. Once developed, the reports can be refreshed and published as needed.

Annualized from the reported 4+ hours saved weekly per board manager over 52 weeks. Potential savings scale as more managers adopt the same board structure and workflow and achieve similar savings.

04 / ANVI IN PRACTICE

Connect the work.
Define done. Size the effort.

THREE-STEP ANVI PROMPT
Weekly backlog preparation

Explore the three-step Anvi prompt
THE PURPOSE

Prepare new backlog cards for delivery and connect them to Feature and Value Delivered parents, keeping their link to strategy and intended value visible.

  1. STEP 01 / CONNECT

    Add missing parent cards.

Review the Planview Product Backlog board in AgilePlace and identify cards created in the last week. For each new card, review its title and description and determine the single Feature and one or more relevant Value Delivered cards on the Planview Epics, Features, and Value Delivered board. If the work card has no Feature parent, add the selected Feature card as a parent. If it has no Value Delivered parents, add the relevant Value Delivered cards as parents. Create these parent-child links across the two boards. Preserve existing parent links and avoid duplicates.

  2. STEP 02 / CLARIFY

Add Acceptance Criteria & Definition of Done.

Review each new card’s description and comments. If both sections already exist in the description, proceed to Step 3. Otherwise, preserve all existing description content and add whichever sections are missing. Add relevant bullets only if the available information is sufficient to support them. Do not invent requirements.

  3. STEP 03 / ESTIMATE

    Populate missing Card Size.

If Card Size already has a value, take no action. If it is blank, estimate the administrator effort in hours needed to carry out the card’s requirements and enter that estimate in Card Size.

Public adaptation of the backlog preparation prompt, with internal board identifiers omitted. Card Size represents estimated administrator effort in hours.
